Working with AI Tasks
Some tasks in Glacis come with an AI agent that can help you draft responses, analyze data, or recommend next steps. These are called action items — tasks where an AI assistant works alongside you. This page covers how the interaction works and how to review AI suggestions.
What are AI-assisted tasks?
An action item is a task created by a workflow that includes an AI agent. The agent can:
Draft a response to a supplier email
Analyze an order and flag issues
Recommend actions based on data from previous workflow steps
Help you work through complex decisions
The key difference from a regular task: the AI agent does the initial work, and you review, edit, and approve before anything is sent or finalized. This is the human-in-the-loop (HITL) pattern — the AI proposes, you decide.
How to interact with an AI agent on a task
Open an action item from your Tasks list or the Action Center.
A chat interface appears showing the AI agent's conversation.
The agent may have already analyzed data and provided a draft or recommendation.
You can type a message to ask the agent to refine its work, ask questions, or provide additional context.
The chat input area says: "Ask AI to do something..." — press Enter to send your message.
Interactions are logged on the action item and visible to everyone in your workspace.
Suggestions
The agent may offer suggestion buttons — quick actions you can click instead of typing. These are context-specific and change based on what the agent has done so far.
AI thinking
When the agent is processing, you'll see a "Thinking" indicator showing how long it's been working. Complex tasks may take a few seconds.
Reviewing and approving
Once you're satisfied with the AI's output:
Review the drafted response, extracted data, or recommended action.
Edit anything that needs adjustment — you have full control.
Click Approve (or Submit Changes) to confirm.
The workflow continues with your approved result.
If the AI got it wrong:
Ask it to try again by sending a message in the chat
Reject the task to stop the workflow and flag it for manual handling
Dismiss the action item if it's no longer needed (this marks it as cancelled and removes it from your Action Center)
Nothing is sent or finalized until you approve. The AI drafts — you decide.
When you see a locked task
If another user is currently interacting with the same action item, you'll see: "The action item is having a conversation with another user. Please try again later." Wait for them to finish before continuing.
Common AI-assisted task patterns
Pattern | What happens |

Email response draft | AI reads an incoming email, drafts a reply, you review and approve before it's sent |
Order data review | AI extracts order details from a document, you verify the data before the order is created |
Issue escalation | AI flags a potential problem, you decide whether to escalate or dismiss |
Document classification | AI categorizes uploaded documents, you confirm the classification |
The quality of AI suggestions depends on how well the workflow is configured — specifically the AI prompts and expected output schemas. If the AI consistently gives poor results, ask your Glacis admin to refine the workflow's AI configuration.
