Quick Start

Welcome to Glacis — the platform that automates your supply chain operations so your team can focus on the work that matters. This guide walks you through your first session: logging in, finding your way around, and getting your workspace ready.

How to log in

  1. Open the Glacis link your admin shared with you.

  2. Enter your email address.

  3. Check your inbox for a 6-digit verification code and enter it on the next screen.

That's it — no password to remember. Glacis uses a one-time code every time you log in.

If your company uses Single Sign-On (SSO), you'll be redirected to your company's login page instead — contact the Glacis team to enable it.

How Glacis is organized

Before diving in, here's the structure you'll be working within:

Your Organization (your company) └── Workspace (an operational environment — e.g., "North America Operations") ├── Team 1 (e.g., "Procurement") ├── Team 2 (e.g., "Logistics") └── Team 3 (e.g., "Customer Service")
  • Your organization is your company. It's set up by your admin.

  • A workspace is a shared environment for your operations. Think of it like a shared drive — everyone on the workspace sees the same orders, shipments, and workflows.

  • Teams are groups within a workspace. Each team has its own email address, workflows, and operating procedures.

Start with one workspace and 1–3 teams. You can always add more later. Sandbox workspaces will always be available for testing.

After logging in, you'll pick your workspace (if you have access to more than one) and land on the Control Tower — your operational dashboard.

Finding your way around

The left sidebar is your main navigation:

Section

Action items, approvals, and things that need human attention

Emails

Incoming and outgoing email threads tied to your operations

Your Teams

Expand any team to see its Orders, Shipments, Operating Procedures, and Workflows

Your reference data — Companies, Locations, Products

At the top of the sidebar you'll find the search bar — use it to quickly find any order, shipment, company, or document by name or number.

Setting up your team

If your admin hasn't already created your team, here's how:

  1. Go to Workspace Settings (gear icon at the bottom of the sidebar).

  2. Click TeamsCreate Team.

  3. Enter a team name (e.g., "Procurement") and an email prefix (e.g., procurement).

The email prefix creates your team's Glacis email address — something like procurement@yourcompany.glacis.com. This is the address your suppliers and partners will send emails to, and it's how workflows get triggered by incoming messages.

Choose your email prefix carefully — it's visible to your external contacts. Keep it professional and descriptive.

Inviting your team members

  1. Go to Workspace SettingsMembers.

  2. Click Invite Member.

  3. Enter their email address and choose a role:

    • Workspace Owner — full control over the workspace

    • Workspace Member — can use the workspace but can't change settings

Glacis sends them a login link. Once they click it, they'll have access to your workspace.

Adding your master data

Master data is the reference information Glacis needs to understand your business — your companies, locations, and products. You'll want to add at least the basics before creating orders or workflows.

Companies

These are the businesses you work with — suppliers, customers, freight forwarders.

  1. Go to Master DataCompanies in the sidebar.

  2. Click New Company.

  3. Fill in the name, email, and company type (Supplier, Customer, Freight Forwarder, etc.).

Locations

Your warehouses, distribution centers, ports, and delivery addresses.

  1. Go to Master DataLocations.

  2. Click New Location.

  3. Fill in the address. At minimum you need: address line, city, and country.

Products

The items you buy, sell, or ship.

  1. Go to Master DataProducts.

  2. Click New Product.

  3. Enter a SKU (a unique identifier for the product) and a name.

You don't need to add everything upfront. When Glacis creates orders from emails, it can automatically create missing companies and products. Start with your most common suppliers and products, and let the system fill in the rest as you go.

Your first week — what to do

Here's a practical checklist to get operational:

You don't have to follow this exact schedule. Some teams are operational on day one with a pre-configured workflow. Others take a week to set up master data first. Go at the pace that fits your team.

Day 1 — Get oriented

  • [ ] Log in and explore the Control Tower

  • [ ] Check that your team exists (or create one)

  • [ ] Invite 1–2 team members

Day 2 — Add your core data

  • [ ] Add your top 5 suppliers and customers to Companies

  • [ ] Add your main warehouse and delivery locations

  • [ ] Add your most frequently ordered products

Day 3 — Set up email

  • [ ] Share your team's Glacis email address with a supplier (e.g., for a test PO)

  • [ ] Send a test email to the address yourself and confirm it appears in the Emails section

Day 4 — Try a workflow

  • [ ] Go to your team's Automation section

  • [ ] Import a pre-built workflow template (your admin or the Glacis team can provide one), or create a simple one from scratch

  • [ ] Test it with sample data before publishing

Day 5 — Go live

  • [ ] Publish your first workflow

  • [ ] Monitor the results in Workflow Runs

  • [ ] Adjust and iterate

Key concepts to know

Term

What it means

Workflow

An automated process — "when X happens, do Y." Learn more →

SOP

A multi-step operating procedure made up of several workflows. Best for processes that span days or weeks.

Trigger

The event that starts a workflow — like receiving an email or creating an order. Learn more →

Task

Something that needs human attention — an approval, a review, a follow-up. Glacis creates tasks automatically or you can create them manually.

Action Item

A special type of task where an AI agent can help. The agent drafts a response or recommendation, and you approve or edit before it's sent.

Portal

A shared link where your suppliers or customers can view order details, upload documents, and track progress — without needing a Glacis account.
